The assessment · Ontario

A day inside your practice. A plan you keep.

One structured day on site. I shadow the front desk, read the reports, talk to the team and watch the schedule run. You get a written plan within ten business days, ranked by what it is costing you, whether or not we ever work together again.

What the day covers

Every practice is different, so the order and the emphasis move with yours. The day is built around the moments where money is made or lost: the huddle, the phones, the hand-off from the operatory to the front desk, and the numbers nobody has looked at in a while.

  • The front desk. Check-ins, insurance verification, phone calls, scheduling, financial conversations, and the treatment plans that leave without a next appointment.
  • The reports. Production and collections, hygiene re-care, unscheduled treatment, aged receivables, new-patient sources and write-offs: what the software already knows and what nobody is reading.
  • Hygiene and the operatories. The hygiene-to-doctor handoff, case presentation, whether treatment is booked before the patient leaves, and room turnover.
  • The team, privately. Short conversations with the office manager, the front desk, hygiene and the assistants. They know where the system breaks.
  • The owner, at the end. What I saw, the three things I would fix first, and what I need from you to finish the written plan. No surprises when the document arrives.

On-Site Practice Assessment — $2,500 + HST

One full day inside your practice. A written 90-day plan you keep, whether or not we work together again. A 60-minute findings call within 10 business days. Travel inside the GTA and Southwestern Ontario included. No other fees.

Credited in full against a 90-Day Sprint or 6-Month Systems Program booked within 60 days, or applied as 50% off your monthly Verifly invoices until the credit is used (up to 12 months; cancel any time).

Disclosure: Verifly is a related business, built and owned by the same family as Jwan Practice Solutions. You can fix insurance verification with Verifly, another vendor, or in-house; the plan works the same either way.

Outside our service area? We quote at booking. Virtual option: same price, same written plan, as two video sessions plus a report review.

The written plan

Delivered within ten business days of the on-site day. It is written for you and your office manager, not for a consultant, so it reads as a working document, not a report.

  1. Summary: the three findings that matter most, each with what it is costing you
  2. Revenue and case acceptance: how treatment is presented, followed up and scheduled today, and what to change
  3. Scheduling and capacity: open chair time, no-shows, hygiene re-care and the block schedule
  4. Team and leadership: roles, accountability, the huddle, training gaps and what lands on the doctor that should not
  5. Insurance and collections: verification, predeterminations, assignment of benefits, aged receivables and write-offs
  6. New patients and retention: where patients come from, what they are worth and where they leave
  7. Your scoreboard: the six numbers to watch weekly, with a one-page template your team can update
  8. 90-day roadmap: what to do in weeks one to twelve, in order, with who owns each item
  9. Appendix: the reports reviewed, the questions asked and the scripts and templates referenced

If the plan finds your front desk losing hours to insurance verification, it will say so and name your options. One of them is Verifly, which we also run. The plan is yours either way.

Virtual option

If an on-site day is not practical, the same assessment runs over two focused video sessions plus a review of your reports. It covers the same ground; it just sees less of the day as it happens.
